3. Information we collect
We may collect your name, email address, telephone number, boat selected, proposed hire dates, delivery or trailer-collection choice, delivery and collection addresses, relevant boating experience, and any other information you include in your enquiry.
Our website may also process essential technical and security information needed to operate securely. Where a hire goes ahead, further information may be necessary to verify identity, assess suitability, organise payment or meet insurance and legal requirements.
4. Purposes and lawful bases
We use your information to respond to enquiries, provide quotations, check availability, arrange delivery and collection, administer hires and deal with customer communications. Depending on the circumstances, the lawful basis is taking steps before entering into a contract or performing a contract.
We may process information on the basis of legitimate interests to manage general enquiries and website security, and to comply with legal obligations where required. Consent will be sought where it is required for non-essential cookies or electronic marketing.
5. Retention
Unsuccessful or unconverted enquiries and their associated personal information are retained for no longer than two months after the last relevant communication, and are then securely deleted or anonymised unless a lawful reason requires longer retention.
If an enquiry becomes a confirmed hire, information needed for accounting, contract management, insurance, disputes, accidents or legal compliance may need to be retained for longer. Such records will be kept only for the period justified by those purposes or applicable legal requirements.
The two-month deletion policy must be implemented operationally, including in the website enquiry database and relevant email records.
6. Sharing your information
Information may be accessible to authorised personnel and to providers supporting website hosting, email, IT services, payment processing or transport arrangements where needed. Information may also be disclosed to insurers, professional advisers or public authorities when appropriate and lawful.
We do not sell personal data. Any service providers acting on our behalf must be subject to appropriate data-protection obligations.
7. International transfers
Some suppliers may process information outside the UK. Where this occurs, any necessary UK international transfer safeguards will be applied.
8. Your rights
Depending on the circumstances, you may ask for access to your personal data, correction, erasure, restriction, portability, or object to its use. You may withdraw consent where processing relies upon consent.
To make a request, email gc@gacook.com. We will respond within the period required by law.
9. Security
We use appropriate organisational and technical safeguards to help prevent unauthorised access, loss, alteration or disclosure. Access to enquiries is restricted to authorised users.
10. Cookies
The website may use essential cookies for site functions and administrative access. If optional analytics, advertising or similar technologies are used, information and consent will be provided where required. See our separate Cookie Notice.
